Job Posting: Camp Wavelength Festival Production Coordinator & Volunteer Coordinator

We're accepting applications for the contract positions of: Festival Production Coordinator and Volunteer Coordinator for Camp Wavelength

Camp Wavelength is a new, intimate, boutique music and arts festival taking place at Artscape Gibraltar Point on Toronto Island the weekend of August 28-30, 2015.

We are seeking two highly motivated individuals who want to join the Wavelength team this summer, to produce a dynamic and memorable festival, and make some magic happen.

Reporting to the Artistic / Executive Director, the Festival Coordinator will be responsible for ensuring smooth and professional delivery of all festival logistics, while the Volunteer Coordinator will engage and recruit volunteers to give patrons a warm and welcoming festival experience.

Responsibilities:

Festival Production Coordinator:
• Coordinate all aspects of festival production and logistics in collaboration with Wavelength Music and Artscape Gibraltar Point staff, including event itinerary, production schedule, audio-visual/ tech requirements, front of house support, catering and refreshment deliveries
• Act as liaison between venue, festival and technical crews
• Ensure venue and grounds can provide adequate power & weather coverage for stages, box office, bar, food service & other essential festival services
• Ensure all festival services meet minimum safety requirements
• Coordinate and oversee installation of all festival infrastructure
• Coordinate set-up and provide training and supervision for box office, merchandise and refreshment sales
• Arrange transportation and hospitality for all festival artists, volunteers & essential services
• Develop and communicate transportation options for audience member and VIPs
• Assist senior staff with other related duties as required.

Volunteer Coordinator:
Create and implement a volunteer plan
• Communicate with volunteer applicants to manage their orientation experience and match them to positions
• Manage festival volunteer schedule
• Organize volunteer orientation and training
• Provide on-site supervision to volunteer during all hours of festival operations. Ensure volunteers are engaged through consistent and effective communication.
• Coordinate set-up and provide training and supervision for box office, merchandise and refreshment sales, as well as post-event take-down
• Maintain communication with each department and senior staff
• Provide wrap-up and completion materials
• Assist senior staff with other related duties as required.

Requirements:

• University degree, community college diploma, OR equivalent work experience
• Minimum 2 years experience in the area of event coordination or customer service management
• Minimum 2 years experience in a music festival or arts event environment
• Familiarity with stage management, technical, front-of-house, box office, refreshment service, sponsorship, marketing and communications requirements of large-scale events
• Strong verbal and written communication skills
• Friendly, outgoing and patient personality, but not afraid to “take charge”
• Problem solver, flexible and able to think on your feet
• Ability to both work independently and in a team environment as well as the ability to both take direction and show initiative
• Excellent attention to detail, budgets, timelines, and objectives
• Adaptable to a flexible work schedule including some evenings and weekends

Contract position details:

Festival Coordinator - Part-time (10 hrs/week) June 29-August 14, 2015; full-time (40 hrs/week) August 17-Sept. 4, 2015. Compensation: $3,600.
Volunteer Coordinator – Part-time (5 hrs/week) June 29-August 14, 2015; 20-40 hrs/week August 17-Sept. 4, 2015. Compensation: $2,200.
